Meta Workplace to Microsoft Viva Engage (Yammer) Migration

Meta Workplace to Microsoft Viva Engage (Yammer) Migration for a Mission-Driven Non-Profit Organization

Project Overview:

As part of its digital transformation journey and Microsoft 365 adoption strategy, a mission-driven non-profit organization partnered with Verinon to migrate from Meta Workplace (formerly Facebook Workplace) to Microsoft Viva Engage (Yammer). The organization sought to streamline its communication platform by retiring Workplace (which is being sunset as a product) and aligning all collaboration under the Microsoft 365 ecosystem, specifically Viva Engage for enterprise social networking.

The primary objective was to migrate Workplace Groups, conversations, posts, comments, reactions, files, and user memberships to Viva Engage while maintaining the original context and structure. Migration was required to be non-disruptive, preserving institutional knowledge and supporting the organization’s collaborative culture.

Verinon leveraged its proprietary Workplace-to-Viva Engage Migration Methodology/Process, ensuring an accurate/comprehensive migration of historical data, user mapping to Azure AD, and automated provisioning of Viva Engage communities. Despite Meta Workplace’s limited export options and API constraints, the team successfully executed the transition with zero data loss and ensured a seamless onboarding experience.

Client Objectives:

  1. Decommission Meta Workplace and consolidate communications within Microsoft Viva Engage.
  2. Preserve all historical posts, comments, files, reactions, and group memberships.
  3. Minimize user disruption and provide a smooth onboarding experience to Viva Engage.
  4. Ensure data security and compliance alignment with Microsoft 365 governance.

Project Scope:

  1. Workplace Groups: 20+
  2. Data Migrated:
    1. Group posts, comments, replies
    2. Files and media attachments
    3. Reactions and likes
    4. Group memberships and user metadata
  3. Target Platform: Microsoft Viva Engage (Yammer via Microsoft 365)

Migration Approach:

Verinon followed a structured and phased approach to ensure a seamless and complete migration from Meta to Microsoft Teams. The process was designed to minimize business disruption, preserve data integrity, and ensure users were fully equipped to adopt the new platform from day one.

  1. Assessment & Planning
    1. Discovery & Audit: Conducted a full audit of the Meta Workplace environment including groups, user activity, post volumes, file sizes, and access controls.
    2. Mapping Design: Defined a one-to-one mapping between Workplace Groups and Viva Engage Communities (Yammer).
    3. Compliance Review: Reviewed content for private/sensitive data to ensure appropriate permissions and privacy settings were retained.
  2. Tooling & Automation
    1. Workplace Data Extraction: Used a combination of Workplace Graph API and custom extraction scripts to retrieve posts, comments, attachments, reactions, and group metadata.
    2. Automated Viva Provisioning: Created Viva Engage communities using Microsoft Graph and Yammer APIs based on the mapping plan.
    3. Data Transformation: Reconstructed post and comment threads in Yammer-compatible formats including handling markdown, emojis, mentions, and timestamps.
    4. File Migration: Downloaded Workplace files and uploaded them to associated SharePoint sites, embedding updated links in Yammer posts for continuity.
  3. Execution & Testing
    1. Pilot Run: Conducted a pilot migration with a subset of groups to validate message fidelity, file integrity, and permissions.
    2. Dry Runs & Validation: Iterative test migrations helped refine transformation rules and ensured successful rendering of conversations in Viva.
    3. Post Enrichment: Enhanced posts with consistent formatting, unified timestamps, and restored emojis and mentions to match Yammer styling.
  4. Cutover & Go-Live
    1. Delta Sync: Captured final Workplace activity before the cutover to ensure completeness.
    2. Access Lockdown: Set Workplace to read-only or disabled new content creation to avoid parallel usage.
    3. User Training & Support: Provided knowledge transfer sessions, end-user FAQs, and dedicated migration support channels to onboard users into Viva Engage.
  5. Migration Mapping: Source to Target
    Meta Workplace (Source)
    Microsoft Viva Engage (Target)
    Workplace Groups
    Viva Engage Communities
    Group Posts
    Community Conversations
    Comments / Replies
    Threaded Comments
    Reactions (like, love, etc.)
    Reactions in Viva
    File Attachments
    SharePoint Online Document Libraries
    Group Membership
    Azure AD-based Viva Memberships
