Migration of SocialText Content to M365 SharePoint
Migration of SocialText Content to M365 SharePoint for non-profit government organization with a national presence focused on legal matters associated with the 50 United States.
Client Overview:
Our client is a non-profit government organization with a national presence focused on legal matters associated with the 50 United States. The project involved migrating content from the SocialText platform, including HTML files, attachments, and custom metadata, to M365 SharePoint. The primary goal was to ensure seamless content accessibility while leveraging the advanced collaboration features of Microsoft 365.
Challenges:
- Content Format Compatibility: Converting SocialText HTML pages to M365 SharePoint site pages.
- Metadata Handling: Retaining and mapping custom metadata during migration.
- Attachment Organization: Ensuring that attachments were correctly linked and accessible from the migrated pages.
- Scalability: Migrating a significant volume of data with minimal downtime.
Approach and Execution:
Analysis and Planning:
- Assessed the existing SocialText content structure, including HTML files, attachments, and metadata.
- Developed a mapping strategy to convert SocialText content into SharePoint-compatible formats.
Migration Process:
- HTML Conversion: Transformed .html files into M365 SharePoint site pages while preserving formatting and embedded links.
- Attachment Migration: Uploaded attachments to a dedicated M365 SharePoint document library. Links within the site pages were updated to point to the corresponding SharePoint location.
- Metadata Mapping: Custom metadata fields from SocialText were mapped to M365 SharePoint columns to ensure data consistency and searchability.
Validation and Testing:
- Conducted extensive testing to verify the accuracy of page content, attachment links, and metadata integrity.
- Addressed formatting issues and resolved discrepancies in metadata mapping.
Deployment:
- Deployed the migrated content in phases to minimize user disruption.
- Provided training and support to users to help them navigate the new M365 SharePoint environment.
